LOA Policy

Every employee at CIA has a right to take leave. This may be to accomodate for commitments outside of Habbo, or to simply have some time away from their CIA duties. Should any employee wish to take some time away from CIA, they must submit a request for a Leave of Absence (LOA) via the CIA Portal. Internal Affairs regulates and coordinates the Leave of Absence process at CIA, and so all requests for LOA are reviewed by IA members and approved or denied on a case-by-case basis.

To request a LOA, visit the portal. Fill out the form with the necessary information. Please provide as much detail as you are able and comfortable, ensuring it is accurate.

If you will be away for 7 days or more from Habbo, please fill in a Leave of Absence on our portal. If you will be away for 14 days or more from Habbo, please fill in a Leave of Absence on our portal.

Notice Period
All employees must provide a minimum number of days 'notice' when requesting to take a LOA. This is so that we can ensure we have time to process your request, and are able to make any adjustments or requests for cover for any of your duties in your absence.
You must make sure that your LOA request is inclusive of the mandatory notice period - i.e. your LOA start date must be at least the minimum notice period amount of days away.
Please note that these notice periods are hard-coded into the portal, and therefore you will be unable to request a LOA that starts sooner than the minimum notice period applicable for your rank.

iC Members Non iC Members
You must provide a minimum of 5 days notice before your requested LOA start date. You must provide a minimum of 3 days notice before your requested LOA start date.

Emergency LOA
Under special circumstances, such as emergencies and other serious matters, exceptions may be made to the above requirements. Emergency LOA is permissible and we do accept. These exceptions can ONLY be approved by Internal Affairs Leadership or a member of Foundation. You must provide a valid reason for going on emergency LOA, and you may need to provide further details or evidence if asked.

If you’re unable to get onto the portal for whatever reason and you therefore cannot submit a LOA request, you may contact any Internal Affairs member as they can process a request on your behalf. When getting in contact with them, it’s essential that you provide them with the reason for your LOA and the length of your LOA. The reason on the portal cannot state "Personal reasons", or "X person knows". Emergency LOA's must follow the same LOA rules as everyone, and provide a short brief reason why you need the LOA.

If you would like to submit an Emergency LOA, please visit the portal. Fill out the information requested on the form, and tick the ‘Emergency LOA’ box which will not enforce the notice period. Remember that you must speak to a member of IA or Foundation before submitting an Emergency LOA.

Confidential Emergency LOA
We at CIA respect your privacy and your confidentiality. If your Emergency LOA is very confidential and personal, speak to one of the Founders, explain and the Founders will protect you. We are a community where we value you and respect the decisions you make. We ask that you trust and bring any and all Confidential Emergency LOA's to the Founders directly.

Length of LOA
Employees may request a maximum LOA length of 60 days, however it may be extended to 90 days if your ability to return is impacted by extenuating circumstances. Speak to a member of IA Leadership if you believe you may require the extra 30 days.
If you need longer than a total of 3 months leave, you will need to speak to a Founder.

LOA Badge

This Badge is owned by CIA.

Once you are done sending your application for Leave of Absence, you must also request the CIA LOA Badge. Your LOA badge will be accepted if your request is successful. You must then wear this LOA badge instead of your usual division badge at all times.

Leaving the LOA badge prior to the approved end date of your leave will render the remaining days void. If you wish to return from LOA early, please contact IA.

Validity of LOA
All LOA must have a valid reason and submitting misleading information may result in disciplinary proceedings. Further disciplinary proceedings may eventuate if alternative accounts are used during an LOA.

You are ALLOWED to do the following:
- Stay at the FTB and 'chill' areas in HQ, and wear LOA badge whilst inside the base
- Talk to friends
- Be excused from reports & tasks, however you must still inform your SU Head and Division Leader (for iC) that you are going on LOA.
- Special Units’ Leadership and 1iC+ should still be in reach via Discord at a minimum expectation whenever they are needed.

You are NOT ALLOWED to do the following:
- You are not allowed to fill any station.
- You are not allowed to claim pay.
- You are not allowed to train and promote employees.
- You are not allowed to turn off your online status and profile visibility whilst on LOA. Your online status must stay on all the time to monitor your activity.

If you are seen violating these basic rules then your LOA may be reviewed and ultimately terminated early.

Returning after LOA
Once your LOA expires, you must ensure that you return from your LOA on the day of expiration. You will be given strictly 5 days after your LOA ends to update your Last Login to avoid your badges getting removed for inactivity. If you wish to extend your LOA, you may do so within the 5 days grace period. Failing to do so will automatically consider you as “Inactive Member” and will be up for Badge Removal Process.

If your badges get removed due to inactivity, you may refer to the Returning Policy under Transfer Policy.
